Diplomas are mailed approximately 4-6 weeks after the conferral of the degree and are printed by a nationally prominent firm on high-quality paper with an engraved UB seal. Students may also choose to purchase an additional diploma.
The student’s primary name is printed. However, a preferred/chosen first and/or middle name may be printed upon request. See the diploma name guidance page for important information and instructions on requesting a preferred/chosen name on the diploma.
Students can also request diacritical marks and proper capitalization of their name by contacting the Office of the Registrar before their conferral date.
Students conferring a double degree—concurrent awarding of two different degree types (BA, BS, BFA, MusB)—or a combined degree will receive two diplomas, one for each degree type.
Student’s conferring in a double major—two or more majors leading to the same degree—will receive one diploma noting the degree and each distinct major (e.g. Bachelor of Arts, English and History).
The academic plan title that will be used is the State Education Department approved plan title only. For undergraduate programs, this will include the major plan only. The diploma will not include concentrations or minors. Diplomas for students in Special Studies programs will read “Special Studies.” Special Studies Proposal titles are included on the transcript.
Before students order an additional diploma, they should contact the Office of the Registrar to confirm that their degree has been conferred and that they do not have any financial holds. If the degree has not been conferred or the student has any financial holds, the diploma request will not be processed.

If the degree has been conferred and the student does not have any financial holds, the student should use the button and follow the instructions to order an additional diploma. Once the request is received, the student will be notified via email if it has been approved or denied. If the request is approved, please allow 2-4 weeks for delivery. Note that all purchased diplomas reflect the current diploma design and signatures.

If a student is requesting a new diploma because their name has changed, they should complete and submit the Student Name Change form along with required documentation.
If the student wishes to have a chosen/preferred first or middle name printed on their diploma, please note “Name Change” in the *Reason dropdown and make note in the provided reason box. Review the Diploma Name Guidance for important information.
In the event of a student’s passing, the University at Buffalo considers the deceased student’s next of kin to be the owner of the record.
All requests for copies of the transcript or diploma of a deceased student must be made in writing, addressed to the Registrar, and include as much of the following student information as possible:

An apostille refers to the legalization of a document for international use. The apostille certifies the signature and the position of the official who has issued or certified a copy of a document.
Students may need an apostille to authenticate their transcript and diploma for use in a foreign country. Apostilles are only valid in countries that joined the 1961 Hague Convention.
The Office of the Registrar assists students with this process by notarizing the document(s). Students then follow the stepts below with the Erie County Clerk and New York State Secretary of State offices to complete the apostille.
Note that an apostille diploma can only be provided if the diploma is printed with the student’s legal full name.
Photocopies of diplomas are preferred so that the original diploma does not get lost or damaged. If students are not in possession of their original diplomoa or do not have a copy of their original diploma, they may purchase a replacement diploma. Please note there is an additional fee for each replacement diploma, and orders will take an additional week to arrive in our office. Diploma apostille can only be provided if the diploma is printed with the student’s legal full name.

After documents have been notarized, the notary public signatures must be authenticated by the Erie Country Clerk’s Office.
There is a $3 fee per authentication. For example, if a student requests a transcript and a diploma, they will pay a $6 fee to the Erie County Clerk’s Office.
A money order or certified check made out to the Erie County Clerk must be provided to process the request. There is a $3.00 fee per document. Only money orders or certified checks are acceptable by the Erie County Clerk and all fees must be paid in U.S. dollars.
Send all documents received back from the Erie County Clerk, including the completed Apostille Authentication Request Form, to the New York (NY) Department of State.
The mailing address will vary depending on your payment type. Please review the NY Department of State Authentication Request Form for the correct address.
The NY Department of State requires a $10 fee per document. For example, if a transcript and diploma are requested, a $20 fee is payable to the NY Department of State.
Students must include a return mailer to have documents returned to them by mail.
Although processing times vary at different offices, it is estimated that this process will take four to five weeks to complete. The apostille process is as follows:
