Paper Diplomas & Certificates

Diplomas are mailed approximately 4-6 weeks after the conferral of the degree and are printed by a nationally prominent firm on high-quality paper with an engraved UB seal. Students may also choose to purchase an additional diploma.

Information Printed on the Diploma

The following information is printed on the diploma:
  • Student’s name.
  • Degree type (BA, MA, etc.).
  • Conferral date.
  • Name of the university (State University of New York at Buffalo).
  • If applicable, University Latin Honors in gold lettering.

Primary Name

The student’s primary name is printed. However, a preferred/chosen first and/or middle name may be printed upon request. See the diploma name guidance page for important information and instructions on requesting a preferred/chosen name on the diploma.

Students can also request diacritical marks and proper capitalization of their name by contacting the Office of the Registrar before their conferral date.

Degree and Program Information (Major / Minor)

Double Degree: Two Diplomas

Students conferring a double degree—concurrent awarding of two different degree types (BA, BS, BFA, MusB)—or a combined degree will receive two diplomas, one for each degree type.

Double Major: One Diploma

Student’s conferring in a double major—two or more majors leading to the same degree—will receive one diploma noting the degree and each distinct major (e.g. Bachelor of Arts, English and History).

Academic Plan Title (Majors and Minors)

The academic plan title that will be used is the State Education Department approved plan title only. For undergraduate programs, this will include the major plan only. The diploma will not include concentrations or minors. Diplomas for students in Special Studies programs will read “Special Studies.” Special Studies Proposal titles are included on the transcript.

Mailed to the Permanent Address

  • Diplomas are mailed to the permanent address listed on the student record.
  • Diplomas are mailed via the United States Postal Service and do not contain tracking information.
  • The diploma is 9.75" X 12.5".
  • Diplomas are not mailed if the student has an outstanding financial obligation to the university. Once the student clears the financial obligation, the student must notify the Office of the Registrar.
  • The student will receive notification the diploma has been shipped from info@cecredentialtrust.com.

Purchase an Additional or Replacement Diploma

Before students order an additional diploma, they should contact the Office of the Registrar to confirm that their degree has been conferred and that they do not have any financial holds. If the degree has not been conferred or the student has any financial holds, the diploma request will not be processed.

If the degree has been conferred and the student does not have any financial holds, the student should use the button and follow the instructions to order an additional diploma. Once the request is received, the student will be notified via email if it has been approved or denied. If the request is approved, please allow 2-4 weeks for delivery. Note that all purchased diplomas reflect the current diploma design and signatures.

Additional Diploma Fees

The charge (U.S. funds) per diploma is:

  • $40 for a non-professional diploma (9.75”x12.5”).
  • $50 for a professional diploma (16”x20”).

Name Change or Preferred / Chosen Name

If a student is requesting a new diploma because their name has changed, they should complete and submit the Student Name Change form along with required documentation.

If the student wishes to have a chosen/preferred first or middle name printed on their diploma, please note “Name Change” in the *Reason dropdown and make note in the provided reason box. Review the Diploma Name Guidance for important information.

Request Records of a Deceased Student

In the event of a student’s passing, the University at Buffalo considers the deceased student’s next of kin to be the owner of the record.

Apostille: Authenticate a Transcript or Diploma for Use in a Foreign Country

An apostille refers to the legalization of a document for international use. The apostille certifies the signature and the position of the official who has issued or certified a copy of a document.

Students may need an apostille to authenticate their transcript and diploma for use in a foreign country. Apostilles are only valid in countries that joined the 1961 Hague Convention.

The Office of the Registrar assists students with this process by notarizing the document(s). Students then follow the stepts below with the Erie County Clerk and New York State Secretary of State offices to complete the apostille.

Note that an apostille diploma can only be provided if the diploma is printed with the student’s legal full name.

Former Millard Fillmore College Students

Millard Fillmore College, which provided continuing education programs, suspended operations in fall 2018. Several of their programs have transitioned to UB's schools and colleges.
