State Payroll is responsible for assuring state-funded faculty, staff and student workers are paid on time, correctly and in accordance with federal and state laws and regulations.

State payroll processes state-funded payroll for:

• Faculty
• Professional
• Staff
• Teaching and Graduate Assistants
• Student Assistants
• Scholarships
• College Work-Study

Services of this unit include:

• Process leaves by including pay status changes for
  • sabbatical
  • sick leave
  • family medical leave
  • workers compensation
• Manage by entering into the SUNY system
  • contractual increases
  • retention bonuses
  • salary increases
• Hire and enter into the SUNY system in order to pay summer and winter appointments
• Update into SUNY system changes to
  • positions
  • transfers
  • also receives
  • chair stipends
  • FTE changes
• Process W-4 and state forms to handle federal and state tax changes along with social security and medicare updating
• Make miscellaneous payments such as
  • Honoraria’s
  • FEE payments
  • Scholarships
  • Overtime
  • Holiday
  • Pre-shift briefing
• Set up miscellaneous deductions by coding the amount of money to be deducted for
  • SEFA
  • UBF pledges and loans
  • ERS loans
• Make changes to checking and saving accounts for direct deposit process
• Handle line keeper/maintenance duties
  • Create lines for temporary employees including adjunct instructors, teaching and graduate assistants, student assistants, scholarship students, college work-study students, FEE payments and extra service employees.
  • Maintain long term distribution accounts for all temporary and permanent positions.  

The Research Foundation Payroll and Employment Unit is responsible for the appointment processing and payroll related functions for all Research Foundation (RF) employees and those being paid an academic fellowship.  This unit is also responsible for the proper title classification of RF employees, and to ensure that proper policies and procedures (whether RF, SUNY, or federal/state agencies) are followed prior to an individual being hired.

The RF Payroll unit provides the following services:

• Advise employees, administrative staff, and other members of the UB community regarding proper policies and procedures (whether Research Foundation, SUNY, federal or state agencies) to follow
  • hiring an employee
  • making a change that would affect an existing employee’s appointment
• Assist departments in completing those new hire or change of status transactions to initiate any necessary change
  • processing new hire paperwork
  • handling any changes to existing salary, title, percentage of effort, taxation, direct deposit, etc.
• Ensure that all new employees are legally authorized to work by entering key biographic data through the federal e-Verify system
