Microsoft Scheduling Poll

Scheduling a meeting? Let your attendees choose what meeting time works best for them. Offer polls of pre-selected meeting time options to attendees using Microsoft Scheduling Poll in Outlook.

Schedule a Meeting Poll

  1. Open Outlook for MS 365 (Desktop client or web client)
  2. Click the Mail icon (envelope) on the left hand side.
  3. Click New Mail
  4. Enter the names of all the attendees in the To field
  5. Enter a meaningful subject in the Subject field
  6. Click the Message tab
  7. If this is your first time using Scheduling Poll, check your Toolbar or the More (...) option in the Toolbar for the Scheduling Poll option. If you do not see it, add it:
    1. Click the More (...) option
    2. Click Customize
    3. Drag and drop Scheduling Poll into your Toolbar
    4. Click Done

8. Select Scheduling Poll from either the Toolbar or from under the More (...) menu in the Toolbar

9. Select your preferred meeting times from those listed. Attendee availability is shown in the people icons - a green check is available, a red X is not available. To pick a different day, either click the calendar icon or else flip through the week by clicking the icon to the right of the Date label.

10. Click Next once you have chosen all the dates and times you want attendees to pick from

11. Click Manage poll settings and select whether you want to have the meeting options held in your calendar, and if you want Outlook to schedule the meeting when a consensus is made for the meeting time

12. Make sure the information, including meeting location, is correct, then click Create poll

Teams Meeting Enabled by Default

If you want to use Zoom instead of Teams, or if you are meeting in person, deselect the Teams Meeting option and turn off auto-schedule. For Zoom meetings, you will need to send an invite with the Zoom meeting credentials.

13. Click View poll details if you want to see its details before you send it, and they will appear in a pop-up window

14. In the Toolbar, click Send  

Common Questions

Can I choose polling options on different days and times?

Yes, pick the first day and time, then either use the calendar to pick a day or advance through the week by using the day by day option to choose another day and time.
