Administrative Services GatewayIn order to operate university-owned vehicles, individuals must be registered with the New York State Department of Motor Vehicles (DMV) License Event Notification Service (LENS) for licensed drivers, and with the Clearinghouse Federal Motor Carrier Safety Administration for a commercial driver’s license (CDL).
LENS and Clearinghouse are data services that gather information daily from the DMV’s driver's license file and confidentially report new information to a designated contact at the University at Buffalo.
The events that will be reported include:
When a position requires a CDL license to operate university vehicles
as a minimum qualification, the candidate will need to be added to LENS and Clearinghouse.
After the hiring proposal is approved for contingent offer the candidate completes the Clearinghouse and LENS form at the same time as the offer letter.
In addition to the Clearinghouse and LENS form, if the position requires a CDL, candidates need to also complete the Employee Consent Form - FMCSA Clearinghouse to be added to Clearinghouse
When the posting requires a driver's license to operate university vehicles
as a minimum qualification, the candidate must be added to LENS.
After the hiring proposal is approved for contingent offer the candidate completes the Clearinghouse and LENS form at the same time as the offer letter.
The Clearinghouse and LENS form must be submitted to the UB LENS Box folder at the Offer Accepted – Initiate Background Check hiring proposal stage.
When the posting requires a license but is not a minimum qualification, the candidate must be added to LENS and possibly Clearinghouse if driving with a CDL is required.
After the hiring proposal is approved for contingent offer the candidate completes the Clearinghouse and LENS form at the same time as the offer letter.
The Clearinghouse and LENS form must submitted to the UB LENS Box folder at the Offer Accepted – Initiate Background Check hiring proposal stage. However, the candidate will not be added to the appropriate systems till after the hire is approved.
