Using Zoom with Outlook Calendar

Zoom provides two different integrations for Outlook: Zoom Outlook add-in and Zoom Outlook calendar integration.

Zoom Outlook add-in

Add a Zoom meeting to an Outlook calendar event. Whenever possible, Zoom recommends using the Zoom add-in rather than the older plug-in technology.

  1. Install the add-in on the Outlook desktop application
  2. Create a New Meeting in Outlook
  3. Click Zoom > Add a Zoom Meeting
    • If you do not see the Zoom button, look under the more menu or switch to the classic ribbon
    • You may be asked to sign into Zoom
    • Remember to choose SSO for your login, do not enter your email address and password on the zoom pop-up login window.
  4. To add or adjust the meeting settings:
    • Click Zoom > Settings
    • Alternate hosts, Q&A automatic recordings and other options can be configured under Advanced Options
  5. Update invitation details and click Send

Zoom Outlook calendar integtration

Sync your Outlook calendar with your Zoom calendar. Your calendars will be up to date on both Outlook and Zoom, and all your meetings will be visible in the app whether or not they have a Zoom component.  

There are two ways to sync your Outlook calendar to Zoom: Using the Zoom desktop app or the Zoom web portal.

Using the Zoom desktop app

  1. Sign in to the Zoom app
  2. Click the Connecting your calendar link on the Home tab (beneath the date and time information on the right hand side)

Using the Zoom web portal

  1. Sign in to the Zoom web portal
  2. Go to Settings > Mail & Calendar
  3. Click Configure Calendar and Contacts Service

Meetings scheduled in either the Zoom web portal or Zoom desktop app will sync to your Outlook calendar, and meetings from your Outlook calendar will appear in the Zoom desktop app calendar, even if they don't include a Zoom link.

Common Questions

How can I prevent Outlook from adding a Teams link to my scheduled Zoom meetings?

In your Outlook client, go to Settings > Options and uncheck Add online meeting to all meetings.
